Job Description:
Key responsibilities
1. Facility Administration & Infrastructure Management
• Lead overall administration and maintenance of the facility, ensuring smooth day-to-day operations.
• Develop and implement preventive maintenance plans for civil, electrical, mechanical, utility, and support infrastructure.
• Coordinate with internal stakeholders and contractors for facility upkeep and expansion activities.
• Maintain asset registers, infrastructure records, service contracts, and statutory documentation.
2. Security Management
• Manage deployed security manpower, supervisors, and security agencies.
• Ensure effective control of entry/exit systems, visitor management, vehicle access, and asset protection.
• Monitor CCTV, access control systems, perimeter security, and emergency response preparedness.
• Conduct periodic security audits and ensure compliance with organizational security protocols.
3. Transportation & Fleet Operations
• Manage company vehicles, driver deployment, and transportation schedules.
• Control diesel consumption through tracking systems and reconciliation processes.
• Coordinate employee transportation for shift operations and site travel requirements.
• Monitor vehicle maintenance, statutory renewals, insurance, and operational readiness.
4. Gardening & Landscape Management
• Supervise maintenance of trees, lawns, green belts, and landscaped areas.
• Plan irrigation schedules, pest management programs, and pesticide applications.
• Coordinate with contractors and horticulture teams for environmental upkeep.
• Ensure cleanliness and aesthetic maintenance of the entire campus.
5. Housekeeping Management
• Manage housekeeping personnel and service providers.
• Ensure cleanliness of office cabins, workspaces, training rooms, washrooms, guest facilities, and common areas.
• Establish and monitor cleaning schedules, quality standards, and hygiene practices.
• Conduct routine audits to maintain facility-wide housekeeping standards.
6. Kitchen & Dining Facility Management
• Supervise kitchen operations, dining services, and food service contractors.
• Monitor menu implementation, food quality, hygiene standards, and inventory control.
• Manage provisions, consumables, kitchen utilities, and stock replenishment.
• Ensure compliance with food safety and sanitation requirements.
7. Stores & Inventory Management
• Manage stores operations, material receipt, storage, stock control, and issue processes.
• Maintain inventories of electrical, mechanical, civil, housekeeping, kitchen, and administrative consumables.
• Conduct periodic stock verification and reconciliation.
• Establish inventory controls to prevent shortages, wastage, and unauthorized usage.
8. Procurement & Local Purchases
• Handle local procurement activities for civil, electrical, mechanical, utility, and consumable requirements.
• Identify and develop local vendor networks.
• Obtain quotations, negotiate pricing, prepare comparative statements, and ensure cost-effective procurement.
• Maintain procurement documentation and vendor performance records.
9. Local Recruitment & Workforce Management
• Manage recruitment and deployment of local manpower including:
• Helpers
• Security personnel
• Housekeeping staff
• Gardeners
• Cooks
• Drivers
• Maintain attendance, shift allocation, performance monitoring, and discipline management.
• Develop a productive and accountable support workforce.
10. Government & Community Liaison
• Liaise with local authorities, village administration, utility providers, landowners, and community stakeholders.
• Support land acquisition, facility expansion, and infrastructure development initiatives.
• Coordinate approvals and local-level administrative requirements when needed.
• Build and maintain positive relationships with surrounding communities.
11. Budget Planning & Cost Control
• Prepare annual and monthly operational budgets.
• Monitor facility expenditures and implement effective cost-control measures.
• Track OPEX related to maintenance, transportation, security, stores, housekeeping, utilities, and manpower.
• Generate periodic MIS reports and financial analyses for management review.
12. Team Leadership
• Lead facility supervisors, contractors, support staff, and outsourced service providers.
• Drive productivity through effective planning, delegation, monitoring, and performance management.
• Establish measurable KPIs for support services and facility operations.
• Foster a culture of accountability, safety, efficiency, and continuous improvement.
Required Skills & Competencies
Technical Skills
• Strong knowledge of industrial facility administration and operations management.
• Experience in security systems, CCTV surveillance, access control, and security manpower management.
• Working knowledge of civil, electrical, and mechanical maintenance activities.
• Expertise in inventory control, procurement, fleet management, and vendor management.
• Budgeting, financial control, and expense monitoring capabilities.
