Senior Manager Facility Management Mumbai
Job Description:
A Facility Manager plays a vital role in ensuring that the physical infrastructure of an organization
operates efficiently and safely. Facility Managers need to be well-organized, have strong leadership
skills, and be able to work across various departments to ensure the smooth operation of the facility.
1. Facilities Management *:
Oversee the day-to-day operations and maintenance of the office facility.
Ensure a safe, clean, and well-maintained working environment.
Optimize resource allocation
Implement efficient processes for managing office spaces
2. Vendor Management, Payouts and Contract Management:
Coordination with existing vendors and scouting & empanelment with new set of vendors for
maintenance, cleaning, catering and other facility-related services.
Ensuring contracts and agreements with vendors are well-drafted, adhered to by Monitoring vendor
performance tools
Vendor Creation
Negotiate contracts and agreements with service providers via SCM
Creation of Work order/PO
Timely checking and review of vendor invoices against order, rate, quantity, quality etc
Vendor payouts as per agreed timelines (MSME / Non MSME)
Advance payout on a case-to-case basis.
3. Security and Safety:
Implementing and maintaining security protocols
Conducting regular safety audits and drills for all premises.
Managing emergency response plans and procedures
4. Budgeting and Cost Management:
Maintain stores/stock inventory of pantry consumables, cleaning equipment, cleaning materials, personal
hygiene consumables, stationery etc.
Develop and manage budgets (CAPEX & OPEX) for facility-related expenses.
Forecast, Budget, Accural, Provision
Actual vs Forecast for facility related expense
Identify cost-saving opportunities without compromising quality.
Budget Vs Spend – monitoring expenses
Ensure financial objectives are met
Invoice processing & payments
Collaborate with Finance teams, central and FCoE for regular checks and balances
Petty Cash
5. Compliance and Regulatory Knowledge:
Ensuring compliance with local regulations and standards
Keeping abreast of changes in laws.
Handling permits, licenses, and other regulatory requirements
6. Asset Management:
Asset Tagging and record management.
Asset audits and write-off by methodology (WDV OR SLM) used by finance

7. Space Planning:
Precise requirement and data gathering – space occupancy, records of retrofits and changes, planning
future expansion, changes in workspace requirements.
Optimize the office layout for efficient space utilization.
8. Project Management:
Managing projects related to both office and guest house improvements or renovations.
Coordinating timelines, resources, and deliverables for projects.
Ensuring projects align with organizational goals.
9. Technology Integration:
Implementing and utilizing technology for efficient operations
Managing systems for access control, surveillance, and communication.
Staying updated on emerging technologies relevant to facility.
10. Emp well-being:
Create WOW factor – employee experience.
Office Ergonomics and aesthetic.
Support services with better Speed, better quality and better TAT.
11. Guest House Hospitality Services:
Providing a welcoming environment for guests in the guest house.
Overseeing catering, housekeeping, and other guest services.
Ensuring high standards of cleanliness, comfort, and hospitality.
Managing and maintaining guest house facilities and amenities.
Coordinating repairs and maintenance for optimal guest experience.
Regular inspection of rooms and common areas to ensure quality standards in the guest house.
Addressing guest feedback and concerns promptly and effectively.
Building positive relationships with frequent guests.
Implementing improvements based on guest feedback for the guest house.
